To keep our logistics manageable and ensure our DMs are prepared for their tables, we use the following guidelines for Virtual D&D Weekends (VDDW) and Home Games in the Cloud (HGitC).

1. Virtual D&D Weekends (VDDW)

Self-Service “No-Questions” Refunds

From the start of ticket sales until Wednesday during the week of the event at 11:59 PM Eastern Time, you can process your own badge and ticket refunds/returns without staff intervention.

  • How to handle it: These are managed directly through TableTop.Events (TTE). You can find the specific steps here.
  • Transaction Fees: Please note that credit card transaction fees cannot be refunded. These are charged by the processor and are outside of our control.

Dragon or Dungeon Mark (Loyalty Point) Refunds

Refunds involving Dragon or Dungeon Marks follow the same “no-questions” deadline, but they cannot be automated by TTE and require manual processing. In addition, you must not be receiving any benefits from those marks in order to receive the refund. That means if you’ve claimed a badge or ticket code using your marks, you must return the associated badge or ticket as well (or any badge or ticket you purchased for another player) and the discount code you used will be invalidated.

  • The process: You must email your request to vddw@baldmangames.com.
  • What to include: Please provide your Discord handle, and if applicable, your TTE badge number or registration email, and the specific ticket number.
  • Timing: To keep our focus on the live event, these are typically processed after the VDDW concludes.

Post-Deadline Requests & Transfers

After the Wednesday midnight cutoff, we have already committed resources to the weekend. At this point, refunds are only issued if we cancel a game or in the event of truly exceptional circumstances (such as major regional blackouts or weather emergencies).

  • Discretion: What qualifies as “exceptional” is determined on a case-by-case basis at the sole discretion of event administration.
  • Transfers: You may request to transfer your ticket to another session with open seats during the same event in lieu of a refund. We aim to process these as quickly as possible.
  • Dragon or Dungeon marks: Refunds that we approve during this window for which you spent any marks will automatically result in a refund of your Dragon or Dungeon marks when we process those refunds (see above).
  • The hard cutoff: Any request for a refund must be in our inbox by the Wednesday immediately following the event at 11:59 PM Eastern Time. After this, the event is considered closed.

2. Home Game in the Cloud (HGitC)

Due to the different nature of the program and its ticketing platform, all HGitC refunds are handled manually according to the following rules and stipulations:

More than 24 hours before game time

These are automatically granted. Please submit your request by opening a support ticket in the HGitC or BMG Community Discord server.

Within 24 hours of the game

At this point, the refund is at the sole discretion of the DM, who has already prepared for the session. You must contact the DM directly; they will notify administration if a refund is approved.

Final Deadline

As with VDDWs, HGitC sessions have a hard cutoff that follows a similar pattern and all requests must be submitted by that time (i.e. no later than 11:59pm Eastern Time on the third full day after your scheduled session). Requests made after this window will not be granted for any reason.
